Notion sells a simple idea: one workspace for notes, documents, projects and databases. Years later it is still the closest thing to that promise, though the app has become heavier and the feature list can overwhelm new users.

The core experience

Everything in Notion is a block — a paragraph, heading, table, image or to-do. You arrange blocks freely, which makes it easy to turn a meeting note into a project plan without switching apps. Pages nest inside pages, so a company wiki, a personal journal and a content calendar can all live in one sidebar.

Databases are the real strength

A Notion database is a table you can view as a board, calendar, gallery, timeline or list — the same data, different lenses. This is where Notion beats plain documents. A content team can track 200 articles with status, owner, category and publish date, then switch to calendar view to see the schedule. Relations and rollups let you link databases, for example connecting clients to invoices.

AI features

Notion AI can summarise a page, draft text, fill database properties and answer questions across your workspace. The search-across-your-notes behaviour is the most useful part — it finds answers inside documents you forgot you wrote. The writing quality is fine for internal notes but rarely good enough for customer-facing copy without editing.

Performance and learning curve

This is Notion’s weak spot. Large pages and big databases load noticeably slower than a native app, especially on mobile. New users often stall at the blank page: Notion gives you infinite flexibility and no obvious starting point. The template gallery solves most of this — start from a template and modify it rather than building from scratch.

Pricing

The free plan is generous for personal use, with limits on file uploads and page history. Paid tiers add unlimited history, larger uploads, guest permissions and admin controls, with a per-seat monthly cost that is comparable to Slack or Google Workspace. Notion AI is priced separately on many plans.

Verdict

Best for people and small teams who want to design their own system and will invest a weekend setting it up. If you want a tool that works perfectly on day one with zero configuration, a dedicated notes app plus a dedicated project tool will frustrate you less.
